We Didn’t Need More Software. We Needed the Right Software.

Why Houston Productivity Solutions chose custom software to reduce complexity and operational cost.

Challenge

The existing operational software had become a source of unnecessary administrative and technical overhead.

  • Time-consuming workflows were adding effort without adding value.

  • The system struggled to accommodate variations in how the business operated.

  • Financial reconciliation and reporting still required significant manual work.

  • The user experience was slow and difficult to navigate.

  • The business was approaching renewal and was paying for functionality and modules it was not fully using.

The key question became:

Could we reduce ongoing operating costs while getting a system that better matched how the business actually worked?

Solution

Rather than immediately deciding to build, HPS evaluated the alternatives.

We reviewed three comparable SaaS products against factors including:

  • Functionality and customisation

  • Integration with the existing technology stack

  • Implementation and onboarding time

  • Pricing and ongoing costs

We also mapped the required functionality using a MoSCoW prioritisation approach and identified which processes could be automated and where human involvement was still required.

This allowed us to compare the cost and capability of an off-the-shelf solution against the investment required to develop a purpose-built platform.

The result was Vibes a custom solution designed around the business's actual processes, including special pricing, tailored billing cycles, custom mapping and integration with finance software.

Outcome

Vibes reduced administrative overhead by removing unnecessary process steps and reducing the amount of manual reconciliation required by the accounting team.

The solution provided the flexibility needed to support operationally critical processes without the cost and complexity of a larger ERP platform, while avoiding the limitations of a lightweight SaaS product.

Why Custom Was the Right Fit

  • Operationally critical
The software directly supports core business operations.

  • Built around the process
The system adapts to the way the business works, rather than forcing the business into rigid workflows.

  • Flexible
The solution can accommodate greater variation in pricing, billing and operational processes.

  • Right-sized
It fills the gap between software that doesn't provide enough functionality and an ERP platform with functionality the business wouldn't fully utilise.

Custom Wasn’t EVER the Goal.
