From Manual Timesheets to a Scalable Workforce Management Solution
How Houston Productivity Solutions helped SILC define the requirements, integrations and roadmap for a customised digital timesheet and leave management system.
Challenge
Supported Individualised Lifestyle Choices (SILC) relied on manual processes for managing timesheets and leave requests. This created significant administrative overhead, required frequent follow-ups to resolve discrepancies, and made it difficult to accurately capture location-based time data. Additionally, there was limited visibility into how existing systems could integrate with a more streamlined digital solution, creating uncertainty around feasibility, scope, and implementation approach.
Solution
Houston Productivity Solutions (HPS) initiated a scoping and design engagement to assess the feasibility of a customised timesheet and leave management application.
During this phase, HPS worked closely with SILC to:
Engage key stakeholders to understand workflows across different operational roles.
Identify pain points and inefficiencies in current processes.
Evaluate integration opportunities with existing systems, including Microsoft Teams Shifts and Greentree Job Cost API.
Assess requirements for geo-location tracking and data accuracy.
Define system architecture, data flows, and technical dependencies.
The outcome of this phase was a clearly documented set of requirements and a high-level solution design to guide future development.
Outcome
The scoping engagement provided SILC with:
A clear understanding of their functional and technical requirements.
Visibility into integration possibilities and system dependencies.
A defined roadmap for implementing a digital timesheet and leave.= management solution.
Improved confidence in project scope, effort, and estimated costs.
This structured approach enabled SILC to make informed decisions about proceeding with development and set the foundation for a more efficient, accurate, and scalable workforce management system.
